Fringe Ticketing Guide
Welcome to the Fringe ticketing system! We’ve designed it to be comprehensive and user-friendly for all participants. As always, if you have any questions on how to use the system or would like to request a particular feature, don’t hesitate to contact us at support@hollywoodfringe.org.

YOUR PROJECT ADMIN SECTION
Your admin section is your control panel for managing your ticketing experience. To view your dashboard, login and click on the “Admin” tab of your project page. Here, you can:
- Change ticket prices
- Add discount codes
- Adjust holds
- Manage complimentary tickets
- Run reports

MANAGING COMPS
Comps are free (complimentary) tickets for friends, press, industry and anyone who shouldn’t need to pay for your show. Comps can be added and managed on a performance-by-performance basis. To open the comp screen:
- Log In: Access your account and go to the “Admin” tab on your project page.
- Select Performance: Choose the performance for which you want to add comps.
- Click “Comped Tickets”: Open the comp management screen.

Enter Details:
- Provide first and last names
- (Optional) Add an email address
- Specify the number of tickets
- Indicate if the comp is for “industry” or “press” (for reporting purposes)
- Click “Add Comps”: Save your entries.
Additional Notes:
- Email Notifications: If an email address is provided, the patron will receive a notification with their ticket details and a user account on the website.
- View/Delete: You can view and delete added comps from this screen.

MANAGING THE NUMBER OF TICKETS ON SALE
By default, 100% of your your venue’s capacity is on sale through the website; if your performance space has 60 seats available, 60 seats are on sale through Fringe ticketing.
If you are producing a digital production, we recommend that you set your ticketing capacity higher (500 is where we set the seat total for Fringe-produced spaces).
To adjust the number of tickets on sale, just follow these easy steps:
- Log In: Head to your account and click on the “Admin” tab on your project page.
- Select Performance: Pick the performance you’d like to update.
- Click “Edit Performance”: Open up the performance settings.
- Adjust Seats: Change the “# of seats on sale” field to what you need.
- Click “Update Performance”: Don’t forget to save your changes!
A Quick Reminder: Make sure at least 50% of your tickets are still available on the Fringe website. You can sell tickets right up until performance time if your settings allow it.

DISCOUNT CODES
Discount codes are a fun way for your patrons to save on tickets! Here’s how it works:
- Create a Code: Set up a special discount code (like “UCLA”) that offers a specific discount (for example, 50% off).
- Apply at Checkout: Patrons simply enter the code when buying tickets to enjoy their discount.
Example: If you create a code for UCLA alumni ("UCLA"), they’ll get 50% off their tickets when they use it!

Creating and Managing Discount Codes
Want to set up a discount code? It’s super easy! Just follow these steps:
- Log In: Access your account and go to the “Admin” tab on your project page.
- Click “Discount Codes”: Open up the discount code management section.
- Type the Code Name: Enter your discount code (like "UCLA").
- Set Ticket Price: Specify the discounted ticket price for patrons using the code.
- Select Performances: Choose which performances the code will apply to.
- Click “Add Code”: Save your discount code, and you’re all set!
Additional Options:
- PWYC Option: If you want the code to allow "Pay What You Can" (PWYC), just indicate that. Patrons can then choose their own ticket price!
Manage Your Codes:
- View/Edit/Delete: You can easily view, edit, or delete discount codes right from this screen.
- Track Usage: Keep an eye on how many patrons have used each code.

TICKETING FEES, PHONE SALES, AND THE FRINGE CENTRAL BOX OFFICE
We’ve gone to great lengths to make ticketing fees as low as possible. Patrons are charged the service fee of $3.00 on any ticket greater than $0 – this includes PWYC tickets where an amount greater than $0 is provided. This is charged “on top of” the price you set in your dashboard, so the ticketing fee will not affect your proceeds from ticket sales.
Patrons may also purchase tickets to your show using the Fringe box office number, during hours when Fringe Central is open: 323-455-4585. Note that all phone sales will incur a per-order $3.00 convenience charge on top of the service fee. In the end, it’s much better to drive your patrons to the website at www.HollywoodFringe.org and/or your project page in particular.
Ticketing Fees and Purchase Options
Service Fee:
- A $3.00 service fee is added to any ticket greater than $0, including PWYC tickets where an amount greater than $0 is chosen. This fee is added on top of your set ticket price and does not affect your proceeds.
Phone Sales:
- Tickets can be purchased via the Fringe box office number (323-455-4585) during Fringe Central hours. Note that phone sales incur a $3.00 convenience charge in addition to the service fee.
Recommendation:
- Encourage patrons to purchase tickets directly through the website at www.HollywoodFringe.org or your project page to avoid additional charges.

During the festival, patrons can get assistance with ticketing at digital Fringe Central space, via the Fringe Box Office number (323-455-4585) or by emailing support@hollywoodfringe.org.
PAY WHAT YOU CAN
You can ask the patron to set their own ticket price through our “Pay What You Can” or PWYC system. PWYC tickets are a great alternative to free performances.
To mark a performance as PWYC.

Pay What You Can (PWYC)
To set up PWYC for a performance:
- Log in and go to the “Admin” tab on your project page.
- Select the performance you want to edit and click “Edit Performance.”
- Check the “PWYC” option next to the Regular Price and/or Participant Price.
- Enter a “suggested” ticket price in the provided text box.
- Click “Update Performance.”
When a patron goes to purchase a ticket for this performance, they will be prompted to pay the “suggested” amount or any amount they’d like to pay.
REPORTS
- Will Call Report: Access this by clicking “Will Call Report” under the “Ticket Sales” tab for a printable list of patrons.
- Sales Reports: Click the “Reports” tab in your Project Admin section for charts on ticket sales, revenue, and sales channels. You can also view specific performance reports by clicking the “Sales Reports” button under the “Ticket Sales” tab.

ACCESSIBILITY
Accessibility Features
- Accessibility Flags: Each performance on the Hollywood Fringe website includes accessibility search features. Shows are flagged with specific accessibility details, which can be viewed on the project page.
- Personal Accessibility Requests: During ticket purchase, patrons can make accessibility requests, which will be communicated to the show’s producer. Accommodations are at the producer’s discretion.

ONLINE TICKETING SHUTOFF
You can set how far in advance online sales should end, up to four hours before the show. This allows time for printing will-call reports and other preparations.
To adjust the shutoff time:
- Log in and go to the “Admin” tab of your project page.
- Click “Edit Performance” next to the performance on the “Ticket Sales” tab.
- Adjust the “Online Shutoff” field to your preferred time.
This setting helps manage your final ticketing and ensure a smooth show.
REFUNDING & EXCHANGING TICKETS
Refunds are handled by the support team at the Fringe. Any refund request we receive before the scheduled performance time will be honored. Refunds are not possible once a settlement check is sent to the participating production. The Fringe Team will also swap performance times upon request assuming there is no price difference.

YOUR TICKETING PAYOUT & RECORDS KEEPING
You will receive a check for all the ticket sales sold through the Fringe website less than two weeks after the end of the festival. To collect your check, we ask you to fill out a Fringe survey about your show. We also ask you to report your total show attendance on a per-performance basis, so please keep records of how many people attend your shows.
In some rare cases the venue opts to have your ticket payout sent through them. Check with your venue to verify.
Important Details For Ticket Sales Payout
- Payout Timing: Expect your check for ticket sales within two weeks after the festival.
- Survey Requirement: Complete a Fringe survey about your show to receive your check.
- Attendance Reporting: Report your attendance after each performance and keep accurate records.
- Venue Arrangements: Some venues may handle payouts, so check with them directly.
